Summary
The Music Coordinator provides administrative support to the Music department at Fourth Presbyterian Church. He/she is responsible for cultivating relations and conducting all duties in the spirit of the church’s continuing mission. The music coordinator assists the Director of Music and Organist at Fourth Presbyterian Church in Chicago.
History
Fourth Presbyterian Church is a progressive and inclusive Presbyterian Church USA congregation located on Chicago’s vibrant Michigan Avenue. The complex of historic and modern buildings welcomes hundreds of people each week, including members, guests, church staff, and others. Programs offer services to those who seek faith and guidance or are active in one of our many community programs or participate in one of our associated mission programs.
Schedule
Flexible schedule is required. Evening and weekend availability is required for concerts and other events. When no concerts or events are scheduled, a general Monday–Friday 8:30 a.m.–5:00 p.m. schedule will be in place.
Essential Functions
Music
- Preparation of contracts, scheduling, and tax forms to all outside independently contracted performers/ensembles
- Coordination of venue rental for musical ensembles, including on-site tours, planning, reception hosting, invoicing, payment arrangements, and general client support
- Serve as the point person for questions regarding upcoming concerts and music events
- Preparation of programs, tickets, and payments related to concert events as needed
- Maintain rosters for all adult and youth choral and worship music ensembles
- Assist with choir folders, music filing, and copy preparation
- Processing of G/L payment requests for Music Department invoices
- Processing of Departmental donations and outside venue/performance rental payments
- Scheduling of regular piano tuning and maintenance
- Coordination of weekly Music Department email newsletter (Music Notes)
- Coordination and arrangement of Departmental business travel, as needed
- Preparation of monthly departmental credit card reconciliation
- Host evening concerts and/or outside events contracted by Music Department, as needed
- Proofing of performance programs, etc., as needed
- General departmental computer hardware and software support
- Maintain weekly live-stream copyright licensing
- Generate publicity ideas in coordination with the communication department.
- Assist with grant proposals
- Use the S.P.I.R.I.T. principles of hospitality when interacting with visitors, guests, members, and staff of Fourth Presbyterian Church.
- Other duties as assigned
Venue Management
- Develop music-specific venue rental brochure and annual concert brochure
- Continue development of touring company partnerships
- Continue development of production company partnerships
- ‘One off’ concert and smaller venue selling via contracts (i.e., lower-level headliners)
Friday Noonday Concerts
- Coordination of weekly Noonday Concert Series, including emcee duties as needed
- Continue with the expansion of the Friday Noonday Concert Series, including, but not limited to:
- Exploring possible funding partnerships, grants, and other resource development possibilities
- Summer Concert revenue development
Qualifications and Experience
- Bachelor’s degree preferred; comparable experience will be considered
- Strong computer skills, including proficiency in Microsoft Word, Excel, Outlook, Publisher, EMS Lite, ACS People Suite, Adobe Acrobat Pro, Adobe Photoshop, and various other software packages
- Previous experience with music programs or departments
- Outstanding communication and organizational skills
- Strong interpersonal skills often serving as the ‘public face’ of Fourth Presbyterian Church
- Typing speed of 50 words or more per minute
- Ability to prioritize tasks and meet deadlines
- Good problem-solving skills and judgment
- Able to work without frequent supervision
- Takes initiative, is a self-starter
- Ability to work independently and as part of a team
- Frequent schedule flexibility, including many evening and weekend hours
- Comfort working in a faith-based, multi-cultural organization
